Please read these Terms and Conditions (“Terms”) carefully before using NexoLink.

1. Interpretation and Definitions

Interpretation

Words with an initial capital letter have the meanings defined below. These definitions apply whether the terms appear in the singular or the plural.

Definitions

For the purposes of these Terms:

  • “NexoLink”, “the Service”, “we”, “us”, or “our” refers to the NexoLink volunteer hours tracking application (iOS app and admin dashboard) and the website you are currently using, operated by an independent developer.
  • “Organization” means a school, club, library, nonprofit, or other group that creates an organization within NexoLink to track its members’ hours.
  • “Admin” means a user who has been granted administrative access to manage an Organization, view aggregate member hours, and configure Organization settings.
  • “Member” means a user who has joined an Organization using a join code and logs hours associated with that Organization.
  • “Account” means the unique account created for you to access the Service.
  • “Hour Log” means an entry submitted through NexoLink recording hours volunteered, including the description, date, and any associated project tag.
  • “You” means the individual accessing or using the Service, or, where applicable, the Organization on whose behalf that individual is acting.
  • “Device” means any device that can access the Service, such as a phone, tablet, or computer.

2. Acknowledgment

These Terms govern your use of NexoLink and form the agreement between you and NexoLink. By creating an Account, joining an Organization, or otherwise accessing the Service, you agree to be bound by these Terms. If you disagree with any part of these Terms, you should not use the Service.

Your access to and use of the Service is also conditioned on your acceptance of our Privacy Policy, which describes how we collect, use, and protect your information.

3. Description of the Service

NexoLink lets Organizations track volunteer or member hours. Members join an Organization using an invite code, log hours through the iOS app, and see their progress toward a goal set by their Organization. Admins sign in to a dashboard to view aggregate progress across their Organization’s members.

A defining feature of NexoLink is instant, auto-approved logging: hours submitted by a Member are counted immediately, without a manual review step by an Admin. This means:

  • NexoLink does not independently verify the accuracy of any Hour Log.
  • Organizations and Admins are responsible for establishing their own norms around honest reporting, and for auditing or correcting entries as they see fit within their own processes.
  • NexoLink does not certify, endorse, or guarantee that hours logged through the Service satisfy the requirements of any third-party award, credential, or program (for example, a school’s community service requirement or a state civic engagement recognition). If official certification is required, you are responsible for confirming acceptance of NexoLink records with the relevant issuing body.

4. Eligibility and Age Requirements

NexoLink is often used by students and other minors through their school, club, or Organization. If you are under the age of 13, you may only use NexoLink with the involvement and consent of a parent, guardian, or supervising Organization, consistent with our Privacy Policy. If you are between 13 and 18, you represent that you have permission from a parent, guardian, or the Organization facilitating your use of the Service.

Organizations that enroll minors are responsible for obtaining any consent required under applicable law before those minors use the Service.

5. Accounts and Organizations

Creating an Account

To use NexoLink, you must create an Account with accurate, current information. You are responsible for safeguarding your password and for all activity that occurs under your Account.

Creating and Administering an Organization

Admins who create an Organization are responsible for:

  • The accuracy of the Organization’s name and settings.
  • Managing who has Admin access to the Organization’s dashboard.
  • Distributing the Organization’s join code responsibly, and revoking or rotating it if it is compromised.
  • Complying with any policies of their own institution (such as a school or nonprofit) regarding the collection and use of member data.

Joining an Organization

Members join an Organization using a join code provided by that Organization. By joining, you consent to your Admins viewing your logged hours and aggregate progress within that Organization.

6. Acceptable Use

You agree not to:

  • Submit Hour Logs that you know to be false, exaggerated, or fraudulent.
  • Use another person’s Account, join code, or credentials without authorization.
  • Attempt to access data belonging to an Organization you have not been authorized to join or administer.
  • Interfere with, disrupt, or attempt to gain unauthorized access to the Service, its servers, or its underlying infrastructure.
  • Use the Service for any purpose that is unlawful or prohibited by these Terms.

We may suspend or terminate your Account if we determine, in our reasonable discretion, that you have violated this section.

7. Intellectual Property

The Service, including its design, branding, and underlying software, is owned by NexoLink and its developer and is protected by applicable intellectual property laws. Your Hour Log data and Account information remain yours; we do not claim ownership over content you submit, though we may use it as described in our Privacy Policy to operate the Service.

8. Termination

We may suspend or terminate your access to the Service at any time, with or without notice, if we believe you have violated these Terms or if continued access poses a risk to the Service or its users.

You may stop using the Service at any time. Organizations may request deletion of their Organization’s data by contacting us as described below; Members may request deletion of their personal data as described in our Privacy Policy.

9. Disclaimers

The Service is provided “as is” and “as available,” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components.

Because auto-approval means hours are not manually reviewed, we specifically disclaim any warranty regarding the accuracy, completeness, or eligibility of Hour Log data for any external purpose.

10. Limitation of Liability

NexoLink is provided free of charge. To the maximum extent permitted by law, NexoLink and its developer shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, arising out of or related to your use of, or inability to use, the Service — including any dispute over the accuracy of logged hours or their acceptance by a third party.

Some jurisdictions do not allow certain limitations on implied warranties or liability, so some of the above limitations may not apply to you.

11. Changes to the Service

We may modify, suspend, or discontinue any part of the Service at any time, including adding or removing features, without liability to you.

12. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will make reasonable efforts to notify users before the changes take effect (for example, through an in-app notice or an update to this page). Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

13. Governing Law

These Terms are governed by the laws of the State of California, United States, without regard to its conflict of law provisions, to the extent applicable to your use of the Service.

14. Severability

If any provision of these Terms is found to be unenforceable, that provision will be modified to the minimum extent necessary to make it enforceable, and the remaining provisions will remain in full effect.
